Senara Health & Med Spa Policies

Senara Health and Healing Center & Med Spa is committed to helping you Live Life Well. Our entire team of health care practitioners, spa providers, and staff devote themselves to improving the lives of every guest that walks through our doors. It’s the Senara difference.

Prior to your visit to Senara, we ask that you read through our office policies. All appointments scheduled are subject to these policies, and we thank you in advance for following them. We look forward to working with you and helping you to achieve optimal vitality.

MEDICAL CONDITION NOTIFICATION

Be sure to alert your service technician if you have any medical conditions, or if you are pregnant.

SCHEDULING APPOINTMENTS

All Day & Medical Spa services are made by reservation and are secured with a valid credit card. Medical Spa services require a Medical Consultation prior to scheduling treatments to determine safety and procedure eligibility. A deposit of up 50% may be required on select medical spa treatments and large day spa group bookings.

STANDARD SERVICE CHARGE

For your convenience, a standard 20 percent service charge to cover gratuities will be added to all day spa services upon checkout.  This charge does not apply for medical spa treatments or other medically prescribed therapies.

SERVICE TIMES & CHECK-IN

All appointments will begin and end on your scheduled time. For all day spa services and new patient appointments, we request that you arrive a minimum of 15-20 minutes prior to your scheduled service time. Some new patient and medical spa procedures require an early arrival of 30 minutes, including Microneedling & Tetra Cool Peel procedures, lip fillers, GainsWave and PRF treatment.

Checking-in or arriving late for your scheduled service will reduce the timeframe of your treatment. Extremely late arrivals may require cancellation of your service entirely. In either case, full charges for the time of your scheduled service(s) will apply.

APPOINTMENT CANCELLATIONS

We require the courtesy of a 24-hour cancellation on all facility services; however, a 72-hour cancellation notice is required on all spa packages, Microneedling treatments, and Ultherapy appointments. For day spa groups of three or more guests a 72-hour to 10-day cancellation policy will apply (subject to total number of services scheduled).

Appointments cancelled without adequate notice will be charged no less than $50 and up to the full rate for the scheduled service(s).

MISSED APPOINTMENTS

  • Missed appointments in our Health & Healing Center will be charged a flat $50 fee, with the exception of chiropractic adjustments which do not have a fee.
  • Missed appointments in our Medical Spa will be charged a minimum of $50 or up to 50% of the service (SkinPen, Ultherapy, and PRF). During peak times, CoolSculpting and CoolTone treatments may also have a missed appointment fee up to 50% of the price of the missed treatment.
  • Missed Day Spa appointments will be charged the full amount of the service(s) scheduled.
  • All missed appointments fees will be collected via the credit card on file or deducted from any prepayments on file. If payment cannot be gained from either of these methods, the guest will be unable to schedule further appointments until the balance is paid.

As a courtesy, we provide automated appointment reminders to the phone number and email on file; ultimately it is your responsibility to keep the scheduled appointment or reschedule in a timely manner per our cancellation policies.

PAYMENT OPTIONS

Senara accepts cash, checks or credit cards (MasterCard, Visa, Discover, and American Express) for services rendered. When you schedule an initial visit, we request a credit card on file to hold the appointment for you. No charges will be applied to your credit card unless you miss or cancel an appointment without proper notice, per our cancellation policy. Payment is due on the day of service.

INSURANCE INFORMATION

Senara Health and Healing Center & Spa accepts a wide range of insurance plans. Most chiropractic and physical therapy services, some basic laboratory tests, and office visits are covered by many insurance plans, and we will gladly bill your insurance for reimbursement for those services, if coverage is available. However, many services in our facility are not covered by insurance and we cannot submit them for reiumbursement. As such, we do not bill your insurance for these services. We offer competitive pricing and payment options to serve you.

LAB TESTS

For our Health & Healing Center guests, lab tests and/or diagnostic tests may be ordered.

  • Testing recommendations and cost(s) per test will be reviewed.
  • Some lab tests are performed “fasting”, which means nothing except water 10 hours before your visit. We will let you know if your labs require fasting.

Some lab tests take up to 6 weeks to be finalized. We will call you to schedule a follow-up appointment to review the test results when they are available. If your follow-up appointment was not booked at the time of your initial visit, then you should contact the office to schedule a follow-up appointment.

PRESCRIPTION REFILLS

It may take up to 72 hours to process a prescription refill. If you are in need of a prescription refill, please plan ahead to avoid a lapse in your prescriptions. Your pharmacy can fax your prescription refill request to us at 309.693.3616.

PERSONAL PROPERTY LOSS OR DAMAGE

Senara is not responsible for loss of or damage to any personal items guests may bring to our facility, including valuables. We strongly recommend leaving valuables at home, and if you do bring them, you should keep them in your possession at all times.

MEDICAL FORMS & RECORDS

For Anti-Aging Medicine guests we require that you complete and submit your Medical History Form and submit copies of any laboratory tests and diagnostics from your other medical providers to us no later than 24 business hours prior to your initial scheduled appointment. If you are unable to submit this information to us within the requested time frame we will reschedule your appointment to a later date. Monday appointments need to submit their materials no later than the Friday before their appointment.

If you have medical records that are pertinent to your initial visit or follow-up visits, you are responsible for obtaining them prior to that appointment. Your Medical Records can only be authorized for release by you. Please contact your physician or other health care provider to order these records.

OTHER POLICIES

Senara Health & Spa is a tranquil environment. To maintain a superior experience for all guests, the day spa is a cell phone free zone. So please turn your phone to off or vibrate during your visit. For all other appointments, we ask that you put your phone away during your treatment.
